If you leave the room entries blank, the staff member will be assigned to any room that has Default = TRUE in the room config (which usually excludes the Kitchen, the Office and ISS).

10

The highlighted rooms are the ones with Default = TRUE and this includes Float.

14

If you assign a person to a single room, that is the only room they will ever be rostered in.

11

If you want to give a person of choice of possible rooms, allocate all choices one after the other. This is not an ordered list, they will be assigned to the room that needs them the most.

12

And if you want them to be chosen first and foremostly for a specific room and only given other room options if they aren't needed in that room, set the Prefer First Area option to TRUE

13

Non-Contact staff such as the Centre Manager or Director will not need to have Float assigned to them. They will just be assigned Float on the printed roster when it is time for their contact time on the floor.

There are a few different approaches you could take when rostering ISS, I will run through them briefly here.

The simplest way is to use the Other Duties tab and just nominate a person/day/time when they will be doing ISS. I recommend this approach when you know who and when you want someone to be doing ISS and they will not necessarily be doing ISS for the entire shift.

4

When you generate the roster, they will be assigned a room for their shift, but the printed roster will display the time they are doing ISS underneath.

8

The person will not be counted towards quotas for the time they are doing ISS.

The next approach is for when you know who and when a person will be doing ISS but it will be for their entire shift.

First, if they have any rooms assigned to them in Staff Areas, also include ISS as a room option (leaving the areas blank for that person is also fine). But if it's not blank, make sure they have Prefer First Area set to true.

6

As shown above, either Juliana or Nickolas could do ISS. We set Prefer First Area set to true so that Juliana is not unexpectedly assigned another ISS shift by the optimiser.

Then on the roster, manually assign the ISS shift by editing the roster on the Roster or Roster (breaks) view. And then lock the room and start time.

7

Then re-generate the roster.

The last way to assign ISS is for when you have a person that will do ISS and only ISS but would prefer to let the optimiser decide when they do ISS. Just give them ISS as their area in Staff Areas and then they will be assigned ISS shifts in a similar manner to the way other non-ISS staff members have their shifts generated.

When naming your roster, we recommend starting the name with a date in the format YYYY.MM.DD followed by a brief descriptions

e.g.

2022.02.21 - Riverdale Roster

Keeping the date in that format will keep it in chronological order.
e.g.
2021.12.21 - Riverdale Roster
2021.12.28 - Riverdale Roster
2022.01.04 - Riverdale Roster
2022.01.11 - Riverdale Roster
2022.01.18 - Riverdale Roster
2022.01.25 - Riverdale Roster
2022.02.01 - Riverdale Roster

This means the most recent roster will always appear at the bottom of the list, and that's easy to find for you to copy for your next roster.

If you name them in the normal date format dd/mm/yyyy they won't appear in order.

e.g.

3

This is because the roster names are sorted alphabetically, not by date order.

The good news is, you don't need to wait for the optimiser to finish before starting over. Just click the Cancel button!

1

In the first case where you forgot to change a setting, you can cancel immediately and click either Keep or Discard. Keep will keep the new roster that has been generated whereas Discard will revert back to the roster you had before you clicked the Daitum logo.

2

In the second case, where you want to quickly see what will happen, I recommend waiting until the blue line has just started to turn from vertical to horizontal, as seen in these screenshots above.

This will give you a 'pretty good' roster. It will give you a good idea of what you can expect the final roster to look like and you can usually see the effect of changing a setting. Then, if you're satisfied it's going to give you the results you want, you can run the optimiser again and let it finish.
